IHYARA Centre Space Hire Terms
These Space Hire Terms apply to approved bookings for the use of IHYARA Centre. By confirming and making payment for a booking, the organiser acknowledges and agrees to these Terms.
1. Booking Approval
All space hire requests are subject to review and approval by IHYARA Centre. Submission of an enquiry does not guarantee availability or constitute confirmation of a booking.
IHYARA Centre reserves the right to decline a proposed booking where the intended activity is considered unsuitable for the space, inconsistent with the Centre's values or intended use, or likely to create operational, safety, reputational, or regulatory concerns.
2. Booking Confirmation
A booking is confirmed only after written confirmation has been issued by IHYARA Centre and the required booking payment has been received.
Dates and times may remain available to other parties until the required payment is received.
3. Hire Period
The confirmed hire period includes organiser access, setup, programme activities, packing, and departure.
Organisers must ensure that the space is vacated by the agreed end time. Additional usage beyond the confirmed booking period may be subject to additional charges and remains subject to availability.
4. Payment
Bookings below $150 require full payment to confirm.
For bookings of $150 or more, IHYARA Centre may require a 50% booking payment to secure the date. The outstanding balance must be paid no later than seven days before the confirmed booking date unless otherwise agreed in writing.
Failure to make the required payment by the stated deadline may result in the booking being released.
5. Cancellations and Changes
Cancellations made more than 14 days before the confirmed booking date may be considered for a rescheduling credit, subject to availability.
Cancellations made within 14 days of the booking date are generally non-refundable.
Cancellations made within 72 hours of the booking, failure to attend, or failure to use the space shall not qualify for a refund or rescheduling credit.
Requests to change a confirmed date or time are subject to availability and approval by IHYARA Centre.
Where IHYARA Centre is unable to provide the confirmed space due to circumstances within its reasonable control, the organiser may be offered an alternative date or a refund of space hire payments received for the affected booking.
6. Security Deposit
IHYARA Centre may require a refundable security deposit for selected bookings.
Where applicable, the security deposit may be applied towards reasonable costs arising from damage, excessive cleaning, missing items, unauthorised overtime, or other losses directly connected with the organiser's use of the space.
Any remaining balance of the security deposit will be returned after the space has been inspected and the booking has been concluded.
7. Permitted Use
The space may only be used for the purpose disclosed and approved during the enquiry process.
The organiser must obtain prior approval before materially changing the nature, title, content, format, or intended use of the confirmed programme.
The organiser remains responsible for the conduct of its facilitators, participants, guests, contractors, and other persons attending in connection with the booking.
8. Capacity and Safety
The organiser must comply with the stated capacity and reasonable safety requirements of the space.
Access routes, entrances, and common areas must not be obstructed. Activities that may create unreasonable safety risks, excessive noise, damage, or disruption are not permitted.
IHYARA Centre may require an activity to stop where there is an immediate safety, property, or serious operational concern.
9. Food and Refreshments
Food and refreshments may only be served where disclosed or approved.
The organiser is responsible for maintaining cleanliness and removing food, packaging, and related waste following the booking.
Additional cleaning costs arising from excessive mess, spills, or failure to restore the space may be charged to the organiser.
10. Products, Services and Commercial Activities
The sale, promotion, or solicitation of products and services must be disclosed prior to the booking.
Approval of space hire does not constitute endorsement by IHYARA Centre of any organiser, speaker, product, service, teaching, methodology, or commercial activity.
The organiser remains solely responsible for its programme, representations, participant arrangements, fees, sales, and other commercial activities.
11. Use of the IHYARA Name
Permission to use the space does not grant the organiser any ownership, licence, partnership status, sponsorship, or endorsement in relation to the IHYARA name, logo, brand, or intellectual property.
Organisers may identify IHYARA Centre as the event venue where appropriate.
The IHYARA name or logo must not be used in a manner that suggests that a programme is organised, endorsed, certified, sponsored, or delivered by IHYARA Centre unless written approval has been provided.
Use of the IHYARA logo requires prior written approval.
12. Photography and Recording
Photography, video recording, livestreaming, and other forms of recording must be disclosed prior to the booking where they may materially affect the space, participants, or public presentation of IHYARA Centre.
Organisers are responsible for obtaining any permissions or consents required from their participants, speakers, or guests.
13. Property and Personal Belongings
Organisers and participants remain responsible for their personal belongings, equipment, materials, and other property brought into the space.
IHYARA Centre is not responsible for loss of or damage to personal property except to the extent liability cannot lawfully be excluded.
14. Damage and Cleaning
The organiser is responsible for reasonable costs arising from damage to the space, furniture, equipment, or facilities caused by the organiser or persons attending in connection with the booking.
The space must be returned in a reasonably clean and orderly condition.
15. Independent Organisers
Unless expressly stated otherwise in writing, external organisers hiring IHYARA Centre operate independently.
Space hire does not create an employment, agency, partnership, joint venture, sponsorship, or endorsement relationship between the organiser and IHYARA Centre.
16. Programme Responsibility
The organiser is responsible for the content, delivery, representations, claims, participant communications, and conduct of its programme.
Where a programme involves specialised professional, therapeutic, health, religious, financial, or other regulated subject matter, the organiser remains responsible for ensuring that its activities and representations comply with applicable requirements.
17. Compliance
Organisers must comply with applicable laws, building requirements, and reasonable instructions relating to the use of the premises.
IHYARA Centre reserves the right to withdraw permission to use the space where a serious breach of these Terms occurs or where continuation of an activity presents an immediate safety, legal, or significant reputational concern.
18. Personal Data
Personal information submitted in connection with a space hire enquiry or booking may be collected, used, and managed for the purposes of reviewing the enquiry, communicating with the organiser, administering the booking, processing related arrangements, and maintaining appropriate operational records.

19. Acceptance of Terms
By confirming a booking and making the required payment, the organiser acknowledges that they have read, understood, and agreed to these Space Hire Terms.
IHYARA Centre reserves the right to update these Terms from time to time. The terms applicable to a confirmed booking will be those communicated or made available in connection with that booking.
